CW Education and Career Services (“CW Education,” “we,” “us,” or “our”) provides college-planning and admissions-advisory services, including our website, Virtual Adviser, student tracker, counselor dashboard, and related services (collectively, the “Services”).

This Privacy Policy explains how we collect, use, store, share, and protect personal information when you use our Services.

We may collect information that you provide directly to us, including:

• Student and parent or guardian details

• Academic information, including grade level, GPA, courses, test scores, activities, college preferences, and application-related information

• Information contained in documents you choose to upload, such as transcripts, resumes, activity lists, or application-planning materials

• Messages, questions, and other content submitted through the Virtual Adviser, student tracker, or counselor dashboard

• Communications with CW Education, including consultation and support requests

We and our service providers may also collect limited technical information necessary to operate and secure the Services, such as device, browser, log, and cookie information.

CW Education uses personal information to:

• Provide college-planning, advisory, and student-support services

• Create and manage accounts, student trackers, and counselor relationships

• Respond to questions submitted through the Virtual Adviser

• Review documents and provide requested advisory support

• Communicate about appointments, services, account matters, and support requests

• Improve, secure, troubleshoot, and administer the Services

• Meet legal, regulatory, accounting, and safeguarding obligations

We do not use student information to make admissions decisions. College-admissions decisions are made solely by colleges and universities.

3. Virtual Adviser and Artificial Intelligence

 

The Virtual Adviser uses artificial-intelligence technology to provide general college-planning guidance. Its responses are informational and should not replace professional judgment, direct communication with a college, or independent verification of admissions requirements.

Please do not submit highly sensitive information through the Virtual Adviser, including government-identification numbers, financial-account information, passwords, medical information, or information that is not necessary for college-planning support.

Information submitted to the Virtual Adviser may be processed by technology providers that help us operate the service. CW Education uses reasonable measures to limit access to this information and to protect it in line with this Privacy Policy.

4. How We Share Information

 

We may share personal information only as necessary:

• With staff, counselors, and authorised representatives of CW Education who need the information to provide Services

• With trusted service providers that help operate our website, account services, communications, document storage, payment services, and technology platforms

• With a parent or legal guardian, where appropriate and authorised

• When required by law, regulation, legal process, or to protect the rights, safety, or property of CW Education, our users, or others

• In connection with a business transfer, merger, acquisition, or similar transaction, subject to appropriate safeguards

CW Education does not sell or rent student or family personal information.

5. Children and Parents or Guardians

 

Our Services are designed primarily for high-school students and their families. Where a user is under 18, a parent or legal guardian should review this Privacy Policy and remain involved in the student’s use of the Services.

CW Education does not knowingly collect personal information from children under 13 without parental consent where such consent is required by applicable law. 6. Data Retention

 

We retain student, family, chat, and uploaded-document records while Services are active and for two years after the later of the last service provided or account closure.

We may retain limited information for a longer period where reasonably necessary for legal, accounting, dispute-resolution, security, fraud-prevention, or recordkeeping purposes. At the end of the applicable retention period, we will securely delete or anonymise the information.

You may request earlier deletion of personal information by contacting us at abby.boaitey@cw-education.com. We will consider each request in accordance with applicable law and our legitimate recordkeeping obligations.

We use reasonable administrative, technical, and organisational measures to protect personal information from unauthorised access, loss, misuse, alteration, or disclosure. However, no internet transmission or storage system is completely secure. Please use care when deciding what information to submit online.
